A UI/UX designer invoice bills a client for design work on a digital product, usually a website or app, broken into phases such as research, wireframes, visual design and developer handoff. Freelancers and small studios use it at the end of each phase or on a monthly basis for ongoing product work. Splitting the invoice by phase lets the client see exactly what stage the project has reached and what is left to pay.

If a phase expands mid-project, the client adds screens, for example, invoice the extra work as a separate line rather than reopening the phase price.

Do ui/ux designers charge tax on invoices?
Most US-based freelance designers do not charge sales tax on design services, since the majority of states exempt professional services, though a handful tax digital design work, so it is worth checking your state's rules. If you operate through an LLC or as a sole proprietor you still owe federal and state income tax on the profit, just not sales tax collected from the client on this invoice.
What payment terms should a ui/ux designer use?
Net 15 is typical for phase-based project work, with a deposit of 25 to 50% collected before research begins. For ongoing retainer work, invoice monthly in advance or in arrears on a fixed date each month.
Frequently asked questions
Should each phase be a separate invoice or one invoice per project?+
Either works. Many designers send a separate invoice at the close of each phase so payment lines up with progress, which also makes it easier to pause after a phase if priorities change. Others prefer one running invoice updated as phases complete. Pick whichever matches how your contract is structured.
What happens if the client wants changes after handoff?+
Handoff should mark the end of the scoped work. Anything after that, new screens or a redesign of an approved section, is a new phase and gets its own line item and fee, even if it is a small one.
Do I charge for revision rounds within a phase?+
Build two rounds of feedback into the phase price so the client knows what is included. Extra rounds beyond that are fair to bill separately, and stating this in the proposal before you invoice avoids any surprise.
