What's on a Receipt
Same fields as an invoice, with key differences:
- Title says "Receipt" or "Payment Receipt" instead of "Invoice"
- "Paid in full" or "Payment received" message prominently displayed
- Date payment was received (not just date of issue)
- Method of payment (bank transfer, card, cash, PayPal, etc.)
- Reference number from the payment (if relevant)
- Sometimes the original invoice number it relates to

When to Issue a Receipt
- Customer paid in cash and wants written confirmation

How to Generate a Receipt

Receipt for Cash Payments
Cash payments especially benefit from written receipts. Customers often need them for tax or expense purposes. Include:
- "Cash payment received" clearly stated
- Date of payment
- Amount in numbers AND words (e.g., "$500.00 (five hundred dollars)") to prevent disputes
- Both signatures if it's a high-value transaction
Digital Receipts
For online or card payments, digital receipts (PDF emailed) are sufficient in most jurisdictions. Include all standard fields plus the transaction reference number from the payment processor (Stripe charge ID, PayPal transaction ID, etc.).
Tax and Compliance
Receipts are usually optional from your side (you've been paid, why give them more paperwork?), but customers often need them. Provide one when asked. In some industries, receipts are mandatory: hospitality, retail, regulated services.
Australia: ATO requires receipts for any expense over $82.50 to be claimable as a tax deduction. Customer's request, you provide.
UK: Receipts required for VAT input claims. Format must include VAT registration number.
