A web developer invoice bills a client for building or maintaining a website or web application. Freelancers and small studios use it after a project milestone, at the end of a sprint, or on a monthly retainer. Because web work is often split into stages, the invoice usually references which milestone it covers and what is still outstanding.

What a web developer invoice should include

  • Your business name, address and tax number if you are registered
  • The client's legal name and billing contact
  • A clear invoice number and both the issue and due dates
  • The project name and the milestone or period being billed
  • Line items that map to deliverables, not vague hours
  • Any deposit already paid, shown as a deduction
  • Payment details and a note on when source files are released

How to itemise the work

Bill by deliverable where you can. Clients understand a line that reads Design system and responsive layout far better than one that reads 24 hours of work. Keep hourly billing for open-ended tasks like performance tuning or fixes, and state the rate on the line. If you took a deposit, add it as a negative line so the balance is obvious.

Tax and compliance

If you are not registered for sales tax or VAT, leave the tax rate at zero and the total is simply the sum of your lines. Registered freelancers in the UK and EU add VAT at their national rate. In the US most pure services are not subject to sales tax, but rules vary by state, so check your own.

Payment terms

Net 14 or net 15 is common for project work. Ask for a deposit of 30 to 50 percent before you start, then invoice the balance at each milestone. Holding final source files until the last invoice clears is normal and worth stating on the invoice itself.

Should I charge hourly or a fixed project price?+

Fixed prices work when the scope is clear, because the client knows the total up front and you keep the upside if you work fast. Hourly suits ongoing or loosely defined work. Many developers do both on one invoice: fixed lines for defined deliverables, hourly for the parts that are hard to predict.

Do I need to charge tax on a web development invoice?+

It depends on where you and your client are. Registered businesses in the UK and EU charge VAT. In the US, digital and professional services are exempt in many states but not all. When in doubt, confirm with an accountant and set the rate on the invoice accordingly.

How do I invoice a client in another country?+
