A plumber invoice bills a customer for a callout, labour and parts. It goes out on completion of a job, whether that is an emergency repair or planned work. Because trade customers want to see what they paid for, a good plumbing invoice splits the callout, the labour and each part into separate lines.

What a plumber invoice should include

  • Your business name, address and phone number
  • Your tax number, such as a VAT number, if registered
  • The customer name and the job address
  • The callout fee and labour, with hours and rate
  • Each part or material as its own line
  • A guarantee or warranty note
  • Tax and payment details

How to itemise the work

Show the callout and first hour as one line, then any additional labour, then each part. Customers rarely argue with a bill they can read. If you guarantee your workmanship, put the warranty period on the invoice, because it reassures the customer and heads off callbacks about scope.

Tax and compliance

In the UK, registered plumbers charge VAT at 20 percent on labour and materials. In Australia, GST at 10 percent applies and your ABN belongs on the invoice. In the US, labour is often exempt while parts are taxable, and several states tax both, so check whether your state pulls sales tax on the materials line.

Payment terms

Payment on completion is standard for domestic jobs, with card or transfer taken on the spot. For landlords, letting agents and commercial customers, net 14 or net 30 is common. State the warranty period so the customer knows what is covered.

Should I charge a callout fee?+

A callout fee covers the cost of turning up, which includes travel, fuel and the time you could have spent on another job. It is standard for emergency and short-notice work. Many plumbers roll the first hour of labour into the callout so the customer feels they are getting value for it.

Do I add VAT or GST to a plumbing invoice?+

If you are registered, yes. UK plumbers add VAT at 20 percent, Australian plumbers add GST at 10 percent and show their ABN. If you are below the registration threshold you do not charge it, and the invoice total is simply labour plus parts.
