An HVAC invoice bills for heating, ventilation and cooling work, from a service call to a full system install. Install invoices carry the equipment, the installation labour, and the materials that connect it up. Manufacturer and labour warranties differ, so noting both on the invoice is good practice.

What a hvac technician invoice should include

  • Your business name, licence and contact details
  • The customer and the site or unit

How to itemise the work

List the major equipment separately from the labour and the connecting materials. State the equipment and labour warranties, since they usually differ, with the manufacturer covering the unit for years and your labour covered for a shorter period. Show any deposit taken at scheduling as a deduction.

Tax and compliance

In the US, equipment is taxable in most states and labour treatment varies, so sales tax usually applies at least to the equipment. UK and EU firms registered for VAT charge it on the total, though some energy-saving installations qualify for a reduced rate. Australian installers add GST.

Payment terms

Installs commonly run on a deposit at scheduling, sometimes 30 to 50 percent to cover the equipment, with the balance on completion. Service calls are paid on the day. Record both the manufacturer and labour warranty on the invoice.

Why take a deposit on an install?+

The equipment on an HVAC install is a large cost you carry before the job is finished. A deposit at scheduling covers the unit and secures the customer's commitment. The balance is then due on completion, once the system is running and commissioned.

What warranty should I show?+

Show both warranties, because they differ. The manufacturer typically covers the equipment for several years, while your labour warranty is shorter. Listing both on the invoice gives the customer a clear record of what is covered and by whom.
