A photographer invoice bills for a shoot and everything around it: the shooting fee, editing, and the licence that lets the client use the images. Event, product and commercial photographers all use it. The usage licence is the part that beginners forget, and it is often where the real value sits.

What a photographer invoice should include

  • Your studio name and contact details
  • The client and the shoot or campaign name
  • The shooting fee, stated as a session or day rate
  • Editing and retouching, priced per image or as a batch
  • The usage licence: where, how long and in what media
  • Travel or expenses if you passed them on
  • Tax and your payment details

How to itemise the work

Separate the shoot from the edit from the licence. A client who sees Half-day shooting fee, then Retouching, 35 images, then Commercial usage licence, 2 years understands exactly what they are buying. Charging usage as its own line also makes it easy to sell extended rights later without redoing the whole invoice.

Tax and compliance

Registered photographers in the UK and EU charge VAT. In the US, photography is taxable in a large number of states, and the sale of prints or digital files is often treated as a taxable product rather than a service, so check whether your deliverable pulls sales tax even if the shoot itself would not.

Payment terms

For events and weddings, a booking deposit holds the date and the balance is due before or shortly after delivery. For commercial work, net 30 is common. Keep high-resolution files behind the final payment and deliver watermarked previews for selection.

Frequently asked questions

Should I charge separately for image usage rights?+

Yes. The shooting fee pays for your time on the day. The usage licence pays for how widely and how long the client can publish the results. A local social post and a two year national campaign are very different in value, and pricing usage as its own line lets you reflect that.

How do I bill a wedding or event deposit?+

Take a non-refundable booking fee to secure the date, then invoice the balance close to the event or on delivery of the gallery. Show the deposit as a deduction on the final invoice so the couple can see exactly what is left to pay.
