A painter and decorator invoice bills for preparation, painting and materials. Jobs are often priced by room or by area, with paint and sundries as a separate line. A clear invoice shows the prep work as well as the coats, because preparation is where much of the labour actually goes.

How to itemise the work

Price by room or by square area and say how many coats are included, since two coats of a quality paint is a different job from a quick single coat. Keep materials on their own line so the customer can see the split between your labour and the paint. If you took a deposit, deduct it clearly.

Tax and compliance

In the US, sales tax often applies to the paint and materials even where the labour is exempt, so many painters tax only the materials line. UK and EU painters registered for VAT charge it on the whole net total. Set the rate to match your own registration and local rule.

Payment terms

A deposit of 10 to 25 percent before starting is common on larger jobs, with the balance due on completion. For repeat commercial customers, net 14 or net 30 is normal. Note the number of coats and the paint grade so there is no confusion about what was quoted.

Frequently asked questions

Should I price per room or per hour?+

Per room or per area gives the customer a firm number and rewards you for working efficiently. Per hour makes sense only for small or unpredictable jobs like patching and touch-ups. Whichever you use, state how many coats the price includes.

Do I charge tax on the paint?+

In many US states the materials are taxable even when the labour is not, so it is common to apply sales tax only to the paint and sundries line. In the UK and EU, a VAT-registered painter charges VAT on the full total. Match the invoice to your own situation.
