Block of 10 lessons for Zainab, covering the summer exam period. Not VAT registered, no VAT charged.
A tutor invoice bills a parent or student for a block of lessons, usually paid in advance rather than after each session. It should show the lesson format, in person or online, since many tutors charge different rates for each.
What should a tutor invoice include?
- Your name and contact details
- The student's name and the subject and level, for example GCSE maths
- The lesson block dates or the exam series it covers
- In-person and online lessons shown as separate line items if your rate differs
- Any intensive or longer exam-week sessions billed at their own rate
- Your cancellation and rescheduling policy for missed lessons
How to create a tutor invoice
- 1Add your business details. Your name, address, contact details and tax number if you are registered.
- 2Add the client. Their name and billing address. Save them to reuse next time.
- 3List the work. Break the job into clear line items the way a tutor bills (see below).
- 4Add tax. Apply your tax rate, or leave it at zero if you are not registered.
- 5Set payment terms and a due date. State when payment is due and how the client can pay.
- 6Download or send. Export a clean PDF, or email it to the client. No signup, no watermark.
How do you itemise a tutor invoice?
Split in-person and online lessons if you charge differently for each, parents querying a total want to see the split rather than an averaged rate. Exam-week intensives usually run longer than a standard hour and are worth a separate line at their own rate rather than being counted as extra standard lessons. It also makes it clear to parents exactly what the intensive session covered compared with a normal week.
What do tutors typically charge?
| Region | Typical billing |
|---|---|
| United Kingdom | £25 to £45 per hour for GCSE level, £35 to £70 for A level and above |
| United States | $40 to $80 per hour |
| European Union | €30 to €55 per hour |
| Australia | AU$45 to AU$85 per hour |
Indicative ranges for guidance. Your rate depends on experience, location and the job.
Do tutors charge tax on invoices?
Most private tutors are below the UK VAT registration threshold of £90,000 in taxable turnover, so no VAT is added and none should appear on the invoice. Tutoring income still needs to be declared for income tax through self assessment even though no VAT is charged.
What payment terms should a tutor use?
Payment for a block of lessons upfront is standard practice, with a clear policy on how much notice is needed to reschedule or cancel a lesson without losing the fee. Some tutors invoice the next block before the current one finishes so there is no gap in lessons.
Frequently asked questions
Should I invoice per lesson or for the whole block upfront?+
Billing the block of 10 upfront is common practice and cuts down on chasing payment after every session. Some tutors offer a small discount for paying the block in one go.
Do I charge the same rate for online and in-person lessons?+
Many tutors charge slightly less for online lessons since there is no travel time, but it is a personal choice, just show the two rates as separate lines if they differ.
What if a lesson is cancelled at short notice?+
State your cancellation policy on the invoice or in your terms, for example lessons cancelled with less than 24 hours notice are still charged in full.
