A consultant invoice bills for advisory work, usually at a day rate or against a fixed engagement fee. It references the engagement or phase, lists the days or deliverables, and often carries travel and expenses as a separate line. Clean documentation matters, because consulting clients tend to have formal accounts payable processes.

What a consultant invoice should include

  • Your business name, address and tax number
  • The client's legal entity and finance contact
  • The engagement or phase being billed
  • Days or deliverables, with the day rate
  • Travel and expenses, if passed on
  • A purchase order reference if the client uses one
  • Tax treatment and payment terms

How to itemise the work

Bill days at your day rate against the phase of work, and describe them by activity: discovery workshops, analysis, reporting. Keep travel and expenses on a separate line and, where the client requires it, attach receipts. If the client issued a purchase order, quote its number so the invoice clears their system without a query.

Typical rates by region

RegionTypical billing
United States$1,000 to $3,000 per day
United Kingdom£600 to £1,800 per day
Eurozone€700 to €2,000 per day
CanadaC$900 to C$2,500 per day
AustraliaA$1,000 to A$2,800 per day

Indicative ranges for guidance. Your rate depends on experience, location and the job.

Tax and compliance

Cross-border consulting inside the EU may fall under the reverse charge, where the client accounts for VAT rather than you. Domestic work is charged at your national rate. In the US, professional consulting is exempt from sales tax in most states. State the treatment on the invoice so there is no ambiguity.

Payment terms

Net 30 is standard for corporate clients, though smaller firms may agree net 15. A purchase order number, a clean breakdown of days, and clearly separated expenses all help the invoice pass through accounts payable without delay.

Frequently asked questions

What is the reverse charge on an EU consulting invoice?+

When you provide services to a VAT-registered business in another EU country, the reverse charge often applies, meaning you do not add VAT and the client accounts for it in their own return. You note on the invoice that the reverse charge applies and quote both parties' VAT numbers.

Should I bill a day rate or a fixed fee?+

A day rate suits open-ended advisory work where the scope may shift. A fixed engagement fee suits a defined piece of work with a clear deliverable, and gives the client budget certainty. Many consultants quote a fixed fee built from an estimated number of days.
