Notes

Managed support labor is billed on an exempt professional-services basis per our engagement letter; hardware passthrough may carry sales tax depending on the client's state. Net 10 on recurring services.

Managed service providers usually bill a flat monthly rate per seat or device, covering an agreed scope of support, plus separate charges for anything outside that scope. The invoice needs to make clear what is included in the recurring fee versus what was extra that month, since that is the most common source of client questions. Hardware resold to the client is typically passed through with a markup, shown as its own line rather than folded into the support fee.

What should a it support / msp invoice include?

  • Number of seats or devices covered and the per-seat rate for the billing period
  • Any add-on plans, like backup or additional server monitoring, as their own recurring line
  • Out-of-scope project hours, itemized separately from the flat monthly fee
  • Hardware or software passed through to the client, shown at cost plus markup, not just a lump sum
  • The support tier or SLA the client is on, referenced so scope is clear
  • Billing period covered by the invoice, since monthly plans are usually billed in advance
  • State or jurisdiction of the client, since sales tax treatment of managed services varies

How to create a it support / msp invoice

  1. 1Add your business details. Your name, address, contact details and tax number if you are registered.
  2. 2Add the client. Their name and billing address. Save them to reuse next time.
  3. 3List the work. Break the job into clear line items the way a it support / msp bills (see below).
  4. 4Add tax. Apply your tax rate, or leave it at zero if you are not registered.
  5. 5Set payment terms and a due date. State when payment is due and how the client can pay.
  6. 6Download or send. Export a clean PDF, or email it to the client. No signup, no watermark.

How do you itemise a it support / msp invoice?

Bill the recurring per-seat and per-server fees as their own lines calculated for the period, so a client can see the count and rate rather than just a total. Anything done outside the managed plan, like a one-off migration or an after-hours emergency call, should be itemized separately with hours and rate so it is clear why the invoice is higher than the usual month. Hardware passthrough should show the cost basis, or at least be clearly marked as equipment with markup, since clients often ask to see that breakdown for larger purchases.

What do it support / msps typically charge?

RegionTypical billing
United States$100 to $250 per seat per month, or $1,500 to $3,500 per server per month
United Kingdom£70 to £180 per seat per month
CanadaCAD 130 to CAD 300 per seat per month
India₹2,500 to ₹6,000 per seat per month for offshore support

Indicative ranges for guidance. Your rate depends on experience, location and the job.

Do it support / msps charge tax on invoices?

In the United States, whether managed IT services are taxable depends on the state. Some states tax software and IT services broadly, Texas and New York among them, while others exempt professional labor but tax any hardware or software resold. Check the client's state rather than assuming a blanket rule, and keep hardware passthrough separate from service fees since they are often taxed differently.

What payment terms should a it support / msp use?

Recurring plans are almost always billed monthly in advance, with payment due on receipt or within a short window like 7 to 10 days, often on an autopay card or ACH. Out-of-scope project work is more commonly billed net 15 or net 30, after the work is completed. Hardware is frequently billed upfront or on delivery, especially for larger orders, rather than bundled into monthly terms.

Frequently asked questions

Should hardware be marked up on the invoice?+

Most MSPs apply a markup of 10 to 20 percent to cover procurement, configuration, and warranty handling, shown as part of the hardware line rather than hidden in the support fee.

How should emergency after-hours work be billed?+

As a separate line item at an after-hours rate, itemized by date and hours, distinct from the flat monthly fee so the client can see why that month's invoice is higher.

What counts as out-of-scope for a managed plan?+

Anything beyond the agreed support tier, commonly new-user onboarding beyond a set number, office moves, or net-new infrastructure projects. The managed services agreement should define this, and the invoice should reference it by task.

Is there sales tax on managed IT services?+

It depends on the state. Some tax IT services outright, some only tax hardware and packaged software, and some exempt professional labor entirely, so check the client's state before assuming no tax applies.
