The Anatomy of an Invoice (Every Field Explained)

A standard professional invoice has 9 sections. Some are required by law, some make you look professional, some make sure you actually get paid. Here's each one.

1. The Header

The very top. Should immediately say what the document is. Just the word "Invoice" in big text. If you're GST or VAT registered, it might say "Tax Invoice" depending on your country.

2. Your Business Details

Your business name, address, email, phone. Add your tax ID if applicable (ABN in Australia, EIN in US, UTR in UK, BN in Canada). Logo goes here too if you have one. More on adding a logo.

3. Client Details

Your client's business name, contact person, address, and email. Get this right because their accounts department uses it to match the invoice to a purchase order. If you guess at their address or use the wrong company name, payment delays.

4. Invoice Number

5. Issue Date and Due Date

Two dates. When you sent the invoice, and when payment is due. "Due on receipt" means now. "Net 14" means 14 days. "Net 30" is the most common in B2B. Spell out the actual date too, not just "Net 30."

6. Line Items

The meat of the invoice. Each service or product gets a line with description, quantity, unit price, and line total. Use specific descriptions ("Logo design, 3 concepts" beats "design work"). The more detail, the fewer questions you'll get.

7. Subtotal, Tax, Discount, Total

Add up the line items (subtotal). Add any sales tax, GST, or VAT. Subtract any discount. Show the grand total in big text. Make the total impossible to miss.

8. Payment Instructions

How does the client actually pay you? Bank account details, PayPal, Stripe link, crypto address, whatever you accept. The easier you make it, the faster you get paid.

9. Notes / Terms

Optional but nice. Late fee policy, thank you note, project reference, or any caveats. Keep it short.
