What Does an Invoice Look Like? (Real Examples + Free Template)
You've got work to bill for. Maybe it's your first invoice ever. Or maybe you've been winging it with a Word doc that's missing half the stuff it should have. Either way, here's what a real, professional invoice actually looks like, with real examples you can copy.
Quick answer: A professional invoice has the word "Invoice" at top, a unique invoice number, your business details, the client's details, an itemised list of charges, totals (including any tax), payment terms, and how to pay you. The Anatomy of an Invoice (Every Field Explained)
A standard professional invoice has 9 sections. Some are required by law, some make you look professional, some make sure you actually get paid. Here's each one.
1. The Header
The very top. Should immediately say what the document is. Just the word "Invoice" in big text. If you're GST or VAT registered, it might say "Tax Invoice" depending on your country.
2. Your Business Details
Your business name, address, email, phone. Add your tax ID if applicable (ABN in Australia, EIN in US, UTR in UK, BN in Canada). Logo goes here too if you have one. More on adding a logo.
3. Client Details
Your client's business name, contact person, address, and email. Get this right because their accounts department uses it to match the invoice to a purchase order. If you guess at their address or use the wrong company name, payment delays.
4. Invoice Number
A unique reference. INV-001, INV-2026-042, whatever format you like. The point is uniqueness so you and your client can both reference it. Full guide to invoice numbering.
5. Issue Date and Due Date
Two dates. When you sent the invoice, and when payment is due. "Due on receipt" means now. "Net 14" means 14 days. "Net 30" is the most common in B2B. Spell out the actual date too, not just "Net 30."
6. Line Items
The meat of the invoice. Each service or product gets a line with description, quantity, unit price, and line total. Use specific descriptions ("Logo design, 3 concepts" beats "design work"). The more detail, the fewer questions you'll get.
7. Subtotal, Tax, Discount, Total
Add up the line items (subtotal). Add any sales tax, GST, or VAT. Subtract any discount. Show the grand total in big text. Make the total impossible to miss.
8. Payment Instructions
How does the client actually pay you? Bank account details, PayPal, Stripe link, crypto address, whatever you accept. The easier you make it, the faster you get paid.
9. Notes / Terms
Optional but nice. Late fee policy, thank you note, project reference, or any caveats. Keep it short.

Different Invoice Styles (And When to Use Each)
Not all invoices look the same. Here's how they vary by industry and use case.
Standard freelance invoice: What we just walked through. Use for most service work.
Tradesman invoice: Splits labour and materials. Includes callout fees and after hours rates if applicable.
Hourly contractor invoice: Lots of small line items, often by date. Each day or task gets a row.
GST invoice (India): Includes GSTIN, HSN/SAC codes, separate CGST/SGST/IGST lines.
EU VAT invoice: Includes VAT registration numbers for both seller and buyer (cross border).
1099 contractor invoice (US): Often includes the contractor's TIN/EIN. Helps clients with year-end 1099-NEC filing.
What an Invoice Should NOT Look Like
Bad invoices delay payments. Sometimes they don't get paid at all. Avoid these.
- Handwritten on lined paper. Use a computer. Always.
- Word document attached to an email saying "see attached." Most accounts payable software won't process Word files. Send PDF.
- No invoice number. The client's bookkeeper has no way to track it.
- Vague descriptions like "consulting" or "various." Itemise. Be specific.
- Missing total. Yes, people forget the total. Don't.
- No payment instructions. Don't make the client guess how to pay you.
- Total at the top with line items below. Total goes at the BOTTOM after the math.
Invoice vs Receipt vs Quote (Quick Difference)
People mix these up all the time. Here's the simple version.
Quote: "Here's what it'll cost." Sent before work starts. Estimate, can be negotiated.
Invoice: "Here's what you owe." Sent after work is done (or as agreed). Demands payment.
Receipt: "Thanks, you paid." Sent after payment is received. Proof of transaction.
