Notes

Illinois does not tax moving labor; the deposit collected at booking is credited above. Local mileage is included in the truck fee, long-distance moves are quoted separately.

A local moving invoice is mostly an hourly bill for the crew plus a set of fees that reflect real conditions on the job, stairs, distance, packing materials. Movers usually take a deposit at booking to hold the date, so the final invoice needs to show that deposit credited against the total rather than asking the customer to pay the full amount again.

What should a moving company invoice include?

  • Your company name, USDOT or state mover registration number and contact details
  • The origin and destination addresses
  • Crew size and hourly rate, with total hours
  • Truck fee and any mileage charge
  • Stair carry, long carry, or other access fees
  • The deposit paid at booking, credited against the total

How to create a moving company invoice

  1. 1Add your business details. Your name, address, contact details and tax number if you are registered.
  2. 2Add the client. Their name and billing address. Save them to reuse next time.
  3. 3List the work. Break the job into clear line items the way a moving company bills (see below).
  4. 4Add tax. Apply your tax rate, or leave it at zero if you are not registered.
  5. 5Set payment terms and a due date. State when payment is due and how the client can pay.
  6. 6Download or send. Export a clean PDF, or email it to the client. No signup, no watermark.

How do you itemise a moving company invoice?

Bill the crew hourly with a clear headcount, three movers at an hourly rate reads very differently from one mover at three times the rate, and customers want to see the crew size. Truck and mileage can be one combined fee for local moves rather than split into two small lines. Stair carry or long carry fees should be their own line since they're conditional, not every move has them, and folding them into the hourly rate hides why one move cost more than a similar one down the street. Show the deposit as a negative line at the end so the invoice reflects what's actually still owed.

What do moving companys typically charge?

RegionTypical billing
United States$120 to $200 per hour for a 3 person crew, truck fee $100 to $200
CanadaC$130 to C$200 per hour for a 3 person crew
United Kingdom£80 to £140 per hour for a 2 to 3 person crew and van
AustraliaA$150 to A$220 per hour for a 3 person crew and truck

Indicative ranges for guidance. Your rate depends on experience, location and the job.

Do moving companys charge tax on invoices?

Illinois doesn't charge sales tax on moving labor since it's a service rather than a sale of goods, similar to how most states treat labor-only services. Packing materials sold to the customer are a different matter in some states, since they're tangible goods, so check whether boxes and materials need tax added even when the labor doesn't.

What payment terms should a moving company use?

A deposit at booking is standard to hold the date and crew, typically a flat fee or a percentage of the estimated total. The balance is due at the end of the move, before the truck leaves, by card or cash since there's no ongoing relationship to invoice later.

Frequently asked questions

Why is the deposit shown as a negative line instead of just leaving it off the invoice?+

So the customer can see the full cost of the move and confirm the deposit was applied correctly, rather than being handed a final number with no way to check it against what they already paid.

Do I charge tax on packing materials?+

Depends on your state. Illinois and similar states don't tax moving labor but may still tax materials sold as goods, boxes and tape are physical items even though the move itself is a service, so check separately.

How is stair carry usually charged?+

As a flat fee per flight or per level without elevator access, added once rather than folded into the hourly rate, since it reflects the extra time and physical difficulty rather than being part of the base crew rate.
