Consultant invoice template (all billing methods)
Consultants bill in several ways, and your invoice should make the basis crystal clear so there's no back-and-forth. This free template handles hourly, day-rate, fixed-project and retainer billing, plus expenses and deliverables — download a clean PDF in under a minute.
Choose your billing method
| Method | How to invoice it | Best for |
|---|---|---|
| Hourly | Hours × hourly rate per task | Ad-hoc / variable scope |
| Day rate | Days × day rate | On-site or blocked days |
| Fixed project | One agreed fee (or milestones) | Defined deliverables |
| Retainer | Monthly fixed amount | Ongoing advisory |
What to put on a consulting invoice
- Your name/firm, address and (if registered) VAT number
- Client and project/engagement reference
- A line per deliverable or work block — description, quantity (hours/days), rate
- Reimbursable expenses (travel, software, subcontractors) as separate lines
- Subtotal, VAT/tax and total due
- Clear payment terms (Net 30 is common) and a late-fee clause
- Bank/IBAN payment details
What consultants most often forget
- Payment terms — always state a due date, not just "on receipt"
- A late-fee clause — protects longer engagements
- VAT breakdown if you're registered
- Scope limits for revisions or extra rounds, to avoid unpaid extra work
Set your rate with the hourly rate calculator, and chase overdue fees with the payment reminder generator.
How to create it
- Open the invoice generator
- Add your firm and the client/engagement
- Add hourly/day/project lines and any expenses
- Set your tax rate and Net-30 terms
