Free Payment Reminder Generator (Email Templates by Tone)

Client hasn't paid? You need to send a reminder. The right tone at the right time gets you paid without burning the relationship. Here are battle-tested email templates for every escalation level, from polite first nudge to "we're going legal."

Quick answer: Send 4 reminder levels: friendly nudge (day 1 to 3 overdue), polite reminder (day 7), firm follow-up (day 14), final notice (day 30+). Each level gets progressively more direct. Full late payment guide.

Template 1: The Friendly Nudge (Day 1 to 3 Overdue)

For when payment is just barely overdue. Assume good intent.

Subject: Quick check on invoice INV-2026-042

Hi [Name],

Hope you're well. Just a quick note that invoice INV-2026-042 (£1,200) was due on [date] and I haven't seen the payment come through yet.

Could you check on this when you have a moment? Could be a banking delay or maybe it slipped through the cracks. The original invoice is attached again for easy reference.

Let me know if you need anything from my end.

Thanks,
[Your name]

Template 2: The Polite Reminder (Day 7 Overdue)

Slightly firmer. Still friendly but you're flagging the issue.

Subject: Reminder: Invoice INV-2026-042 now 7 days overdue

Hi [Name],

Following up on invoice INV-2026-042 for £1,200, which was due on [date] and is now 7 days overdue.

I haven't heard back from my note last week. Could you let me know the status? If there's a problem with the invoice or any reason for delay, I'd like to know so we can sort it out.

For your reference:
- Invoice: INV-2026-042
- Amount: £1,200
- Original due date: [date]
- Days overdue: 7

If payment was sent recently, please disregard this note.

Best,
[Your name]

Template 3: The Firm Follow-Up (Day 14 Overdue)

Time to be direct. Late payment terms become explicit.

Subject: Payment overdue: Invoice INV-2026-042 (14 days late)

Hi [Name],

Invoice INV-2026-042 for £1,200 is now 14 days overdue. I've sent two prior reminders without response, which concerns me.

Per the payment terms on the original invoice, accounts overdue by more than 14 days are subject to:
- Statutory interest at 8% above Bank of England base rate (currently ~12% APR)
- A £40 recovery fee under the Late Payment of Commercial Debts Act 1998

At this point, the outstanding balance is approximately £1,245 if paid this week (£1,200 invoice + £5 accrued interest + £40 recovery fee).

Could you let me know when payment will be made? I'd like to resolve this before further fees accrue.

[Your name]

Template 4: The Final Notice (Day 30+ Overdue)

Last chance before legal action. Tone is professional but unmistakeable.

Subject: FINAL NOTICE: Invoice INV-2026-042, 30+ days overdue

Dear [Name],

Invoice INV-2026-042 for £1,200, originally due on [date], is now over 30 days overdue. Despite three prior reminders, I have received no payment and no communication addressing the delay.

This is my final notice before I escalate this matter:

1. Refer the debt to a collection agency
2. File a claim through the small claims court
3. Add this account to industry credit databases (depending on jurisdiction)

The current outstanding balance, including statutory interest and recovery fees, is approximately £1,290.

To resolve this without further escalation, please make full payment to the bank details below within 7 days:
[Bank details]

If there is a dispute or specific reason for non-payment, please respond to this email by [date] so we can discuss.

Sincerely,
[Your name]

Why Each Tone Matters

Day 1 to 3: Most "late" payments are just timing. Bank delay, missed email, holiday. Be friendly. Don't burn the relationship over what's probably nothing.

Day 7: Pattern emerging. Time to be more formal. Still friendly, but clearly signaling this is a real issue.

Day 14: Now it's a problem. Bring out the legal/financial consequences. Many clients pay at this stage just to avoid further fees.

Day 30+: Last chance. Most professional clients won't reach this point. If they have, you're probably escalating to debt collection or legal.

How to Customise These Templates

Replace these variables:

  • [Name] = client contact name
  • INV-2026-042 = your actual invoice number
  • £1,200 = invoice amount
  • [date] = original due date
  • [Your name] = your name
  • Bank of England base rate / Late Payment Act = adjust for your country (see late payment fee calculator)

What NOT to Do in Reminder Emails

  • Don't insult the client (even if frustrated)
  • Don't threaten before you mean it
  • Don't use ALL CAPS or exclamation marks (looks unprofessional)
  • Don't make it personal (it's business)
  • Don't forget to include the original invoice attached
  • Don't escalate too fast (skipping levels makes you look erratic)

Phone vs Email Reminders

Email is your primary channel for documentation. But after Day 14, a phone call alongside the email often prompts faster payment. Some clients respond to friction (a real human asking) faster than to text.

If you call: keep it professional. "Hi [Name], I'm calling about invoice INV-XXX. Can we sort out the timing of payment?" Don't accuse, don't get emotional. Document the call afterward.

Legal Action: When and How

If 30+ days of reminders haven't worked:

  • Small claims court: Most countries have small claims for amounts under $10K to $25K. Cheap, quick (3 to 6 months), no lawyer needed.
  • Debt collection agency: They take 25 to 50% of recovered amount. But they get results, especially for amounts over £1K.
  • Statutory demand (UK): Formal demand under the Insolvency Act, signals you're serious.
  • Solicitor's letter: Cheaper than litigation, often prompts payment alone.

Frequently Asked Questions

How soon should I send a payment reminder?
First reminder 1 to 3 days after the due date (friendly tone). Second reminder around day 7 (firmer). Third around day 14 (mention late fees). Final notice day 30+ (mention legal escalation).
Should I send reminders by email or phone?
Email is your primary channel for documentation. After day 14, adding a phone call often gets faster results. Document any phone conversations with a follow-up email summarising what was discussed.
Can I charge a fee for late payment?
Yes in most countries. UK and EU have statutory interest at 8% above central bank rate plus £40/€40 recovery fee. US states vary 6 to 16% APR. State the late fee terms on the original invoice for enforceability.
What tone should reminder emails use?
Start friendly (assume good intent), get firmer with each reminder, end professional but unmistakeable. Avoid ALL CAPS, exclamation marks, personal insults. Document everything in writing.
Can FreeInvoicePDF.org generate payment reminders?
We provide email templates here that you can copy and customise. The actual invoice and PDF generation happens on the create page. Use the templates above for the reminder emails themselves.
When should I escalate to legal action?
After 30+ days of unanswered reminders, consider: small claims court (under $10K to $25K), debt collection agency (25 to 50% commission), solicitor's letter (often prompts payment). Don't escalate before exhausting reminder steps.
